Moving in:

  1. Clients are not allowed access on Monday 1 June due to health and safety reasons. If you have ordered any additional items for your booth, these will be delivered to your stand in time for set-up.
  2. Should you need any assistance during set-up a member of the GHI team will be on hand to help.
  3. Strictly no external food or drink can be brought into the venue. If you have a special requirement, please speak to Katie. The venue does provide a food and beverage service, which you are able to purchase from.
  4. If you need to store any items for the duration of the conference / day, please use the cloakroom that will be available on site. 

Moving out:

  1. Breakdown can commence on Thursday 4 June from 1430-1630.
  2. Please note that clients are not permitted to dismantle stands or remove exhibition goods before the designated time. 

Conference Hotel

Conveniently located from the venue, the Raddison Hotel Panama Canal will be the official conference hotel allowing you to connect, network and unwind in a relaxed setting.

Shipping Goods to your room

Before shipping any items to your stand please make sure you get in touch with the official handling company, AIR BUSINESS. They will be happy to solve your doubts and offer their services for reception and delivery or unloading to stand of your materials. Please note that the Panama Convention Centre does not receive, customs clear or store incoming shipments. If you intend to ship goods directly to your stand, you need to be present in order to sign off the delivery note of your transport company.

Products demonstrations are a great opportunity for you to present your products/services to an audience. All products demonstrations will be held on your exhibition stand and are free to host.

Delegates will sign up to your pre-scheduled demonstration to watch and learn how your product could work best for them. The aim is to allow potential buyers to get a hands-on experience of your product.

We are operating a number of 15-minute time slots throughout the conference period (Tuesday to Thursday). The available time slots are as below:

It is a condition of the Exhibitor Table-Top contract that Exhibitors arrange adequate insurance to protect themselves and others attending the conference. The minimum limits expected are advised below:

Loss of irrecoverable expenses sustained as a result of cancellation, abandonment, curtailment, postponement or removal to alternative premises; inability to open or keep open your stand/space due to damage to Exhibitor Property at the Venue, in transit to the Venue or damage to the Venue itself; late or non-arrival of Exhibits or of your staff/representatives; failure to vacate the Venue within the contracted time; reasonable additional costs and expenses incurred in avoiding or diminishing a loss; for reasons beyond your control.

Exhibitor Property

GBP 20,000

Physical loss of or damage to property for which you are responsible, including exhibits, stands, displays, equipment, furnishings, stationery, promotional literature, being brought to the venue for the purposes of the Exhibition.

Exhibitor Liability

GBP 2,000,000 any one occurrence

Legal liability to pay compensation, legal costs and expenses as a result of accidental death or injury to a third party and/ or damage to their property at the Venue.

Submit proof of your insurance liability

It is vital that you submit proof of your insurance liability cover by Thursday 28 May

If you do not submit your insurance liability cover, we are unfortunately unable to allow the exhibiting company to set-up at the event.

Terms & Conditions

Key tips for you to make the most out of each event:

  1. Register your exhibition space early – this will give you early exposure on the GHI website
  2. Register your colleagues early – when the personal page is launched, they will have access straight away to the meeting facility
  3. Use the meeting planner on your personal page – add notes! From our experience, if you add a note to your meeting request, they are more likely to get accepted.
  4. Read all correspondence sent to you to avoid missing any important deadlines

Meet the Airline & Meet the Ground Handler

Have you ever wanted the opportunity to meet with more airlines and ground handlers at a GHI Conference, but busy schedules got in the way? GHI’s Speed Networking Forums will boost your networking opportunities with attending airlines and ground handlers whose busy One-to-One Meeting schedules prevent them accepting meeting invitations.

Why take part?

Make an acquaintance - introduce yourself or your business and contact details with potential buyers.

Time efficient: meet up to five airlines and ground handlers in just 25 minutes.

80% of participating airlines informed GHI that the Speed Networking Forums led to further business discussions post conference.

Statement from Ground Handling International:

We have been made aware of a growing number of fraudulent emails being sent to delegates and exhibitors from individuals claiming to be from GHI or partnered with us that offer to sell attendee lists or other services from our events.

The scammers may use GHI logos and show branding to appear genuine. They are not! We are not in any way affiliated with these companies and do not release, sell or share any data related to our events to any outside parties.

These companies are fraudulent and target exhibitors participating in events across many different industries.

The scammers may offer you the sale of visitor data lists, directories and hotel bookings. Our advice is to ignore them completely and do not communicate with them in any way.

Your security is important to us, so if you're unsure whether or not an email you have received is fraudulent, please get in touch and we'd be happy to verify it for you.

Advice from the Association of Event Organisers (AEO):

Our advice is to IGNORE THEM COMPLETELY, and do not communicate with them in any way. Writing letters and responding to emails simply confirms that you exist and are available at the address/email address/number they have for you, and therefore payment can be pursued.

What you can do:

  • Report it to your local trading standards
  • DO NOT PAY ANYTHING
  • DO NOT COMMUNICATE WITH THE SCAMMERS even when they threaten legal action

Please note, Panama Convention Centre does not allow external catering. The convention centre reserves the right to levy external catering fee for events that do not declare any food and beverage brought in. 

There is vehicle access from General Juan D. Perón Street, as well as from the main pedestrian street in Amador.

We have 4 parking areas, 3 outdoors and one indoors with direct access to the Banquet room. With availability of self-service and capacity for more than 1,700 spaces, accessible from General Juan D. Perón Street, as well as from the main pedestrian street in Amador.

The Panama Convention Center offers buses specific parking.
